Switching accountant

Switch accountant without the hassle

Changing accountant is easier than most people think. You sign one form and we handle the rest, at any time of year.

In short

One form to sign. We do the rest.

Plenty of people stay with an accountant they are unhappy with because moving sounds like hard work. It is not. You sign one form. We write to your old accountant, collect your records and register with HMRC as your agent. Then we check what has been filed, make a list of what is coming up, and take it from there.

What is included

The handover
We contact your old accountant, ask for your records and the information we need, and follow it up so you do not have to.
HMRC and Companies House
We register as your agent so HMRC can talk to us, and pick up any company filing codes we need.
A fresh check
We look over recent returns and accounts with new eyes, and tell you if anything looks wrong or could have been claimed.
Your deadline list
You get a clear list of every date that applies to you from now on, so nothing slips during the move.

Who this is for

  • Anyone who struggles to get answers from their accountant
  • People whose fees keep rising without explanation
  • Businesses that have outgrown a basic service
  • Anyone whose accountant is retiring or closing

When it is due

You can switch at any point in the year. If a deadline is close, tell us when you first get in touch and we will put it first.

We confirm your dates in writing and keep track of them for you from then on.

How easy is it to switch accountant?

Easier than most people expect. You do not need to have a difficult conversation or chase anyone for files. You sign one form. We write to your old accountant, collect your records and register as your agent with HMRC. You can switch accountant at any time of year, not only at your year end.

Accountants who are members of a professional body follow set rules for handing over a client. Your old accountant should pass on the information we need to carry on your work. They may ask that any fees you owe them are settled first.

Switching does not mean starting from scratch. Your company number, your tax references and your filing history all stay the same. HMRC simply records that a new agent is acting for you. Your bookkeeping software usually stays the same too: we are added as a user, and your old accountant is removed.

Common reasons people switch

  • Emails and calls that go unanswered for days
  • Being passed between different people each year
  • A large bill at the year end that you did not see coming
  • Returns filed at the last minute, leaving no time to plan
  • Advice that never goes beyond filing the forms
  • Your accountant is retiring or closing

Sometimes the reason is simpler. Your business has changed and your accountant has not kept up. You might have started letting property, taken on staff, registered for VAT or moved into a company. A practice that fitted you five years ago may not fit you now, and that is a perfectly good reason to look around.

We are a two-person practice led by an ICAEW Chartered Accountant. You speak to the person doing your work. You can read more about us.

That is the only paperwork for you. It lets us act for you.

We write to your old accountant, collect your records and last returns, and register with HMRC as your agent.

  5. 5

A fresh check and a deadline list

We review recent returns and give you a list of every date that applies to you from now on.

When is the best time to switch?

Any time works. There are a few points to keep in mind so nothing falls between two firms:

If you are…Watch this date
Self-employed or a landlord31 January for your online tax return
A limited company9 months after your year end for accounts
VAT-registered1 month and 7 days after each VAT period
In MTD for Income Tax7 August, 7 November, 7 February and 7 May
A CIS contractorThe 19th of every month

What we need from you to switch

  • Your old accountant’s name and email address
  • Your UTR, and your company number if you have a company
  • Your VAT number and PAYE reference, if you have them
  • Copies of any recent HMRC letters you have not dealt with
  • Access to your bookkeeping software, if you use one

If you have copies of your last tax return or accounts to hand, send those too. It lets us start checking straight away while the formal handover goes through, and spot anything urgent early.

What switching costs

When you switch, you move onto a fixed monthly fee: from £99 for self-employed people and landlords, £150 for limited companies and £220 for growing businesses. If your books need catching up first, we tell you before we start. See our fees page, and our guide on how much an accountant costs to compare quotes fairly.

We work with Xero, QuickBooks, Sage, FreeAgent and spreadsheets, so in most cases you can keep the software you already use.

Common questions

Do I have to tell my old accountant myself?

You can if you want to, but you do not have to. We write to them for you and ask for everything we need.

Can I switch accountant in the middle of the year?

Yes. We pick up from wherever your old accountant left off, at any time of year.

Will I lose my records?

No. Your records belong to you. We collect them, along with copies of your recent returns and accounts.

Do I need to be in Liverpool?

No. Our office is in Liverpool and you can visit by appointment, but we work online with clients anywhere in the UK.

What if my old accountant made a mistake?

We review recent returns as part of the switch. If something looks wrong, we explain it and tell you what can be done.

How we run it

A routine, not a panic

We agree at the start what we need from you and when, and what you get back and when. After that it just happens, without anyone chasing anyone.

You get a written list of every date that applies to you, a reminder before each one, and the filing done early. If something changes in your business we change the plan, instead of finding out about it at the year end.

  • We write to your old accountant for you
  • We collect your records and last returns
  • We register as your agent with HMRC
  • Switch at any time of year, not just at year end
