CIS tax refunds

CIS tax refunds for subcontractors

If tax has been taken off your pay under CIS, we work out what you are owed and claim it back from HMRC.

In short

Your CIS deductions checked and claimed back.

Under the Construction Industry Scheme, contractors take tax off your pay before you get it. That tax is an advance payment towards your bill for the year. Once your expenses and your Personal Allowance are counted, most subcontractors have paid too much. The only way to get it back is to file an accurate tax return. We do that, and we make sure nothing you can claim is left out.

What is included

Checking your deductions
We match every monthly statement from every contractor against the figures HMRC has on record, and chase any statement that is missing.
Claiming your expenses
Tools, van, fuel, protective clothing, phone and more. We go through what you spent so your profit, and your tax, is not higher than it should be.
Filing the return
We prepare and file your Self Assessment return as early as your paperwork allows, because the refund only starts once the return is in.
Limited companies too
If you trade through a company, we set the deductions against your payroll bill each month or claim them back after the year.

Who this is for

  • Self-employed subcontractors paid under CIS
  • Builders who have never claimed a refund before
  • Subcontractors who think they are owed money from earlier years
  • Limited companies that suffer CIS deductions

When it is due

You can file as soon as the tax year ends on 5 April. The return must be in by 31 January, but the earlier we file, the earlier HMRC can pay you.

We confirm your dates in writing and keep track of them for you from then on.

Why so many subcontractors are owed a CIS tax refund

Under the Construction Industry Scheme (CIS), contractors take tax off your pay before you get it. If you are registered, they deduct 20% of the labour part of each payment. If you are not registered, they deduct 30%. These deductions are advance payments towards your tax and National Insurance for the year.

The deduction is worked out on your gross labour, with no allowance for your costs or your Personal Allowance. Your real tax bill is worked out on your profit, after expenses and after the first £12,570 of income. So the deductions are often more than you owe, and the difference comes back to you as a CIS tax refund.

A worked example

Say you are a registered subcontractor with £40,000 of labour income in 2026/27. Contractors deduct 20%, so £8,000 has been taken off. Your expenses for tools, van, fuel and clothing come to £8,000, leaving a profit of £32,000. You have no other income.

Hypothetical figures for illustration only
StepAmount
Profit£32,000
Less Personal Allowance£12,570
Taxable profit£19,430
Income tax at 20%£3,886.00
Class 4 National Insurance at 6%£1,165.80
Total tax and NI due£5,051.80
CIS already deducted£8,000.00
Refund due£2,948.20

Because the profit is over £7,105, Class 2 National Insurance is treated as paid, so you keep your State Pension credit without paying it. Every pound of expenses missed in this example would cost you 26p of refund, which is why we go through expenses properly.

Why CIS refunds come out smaller than they should

  • Missing statements. If a contractor’s statement is left out, the tax they deducted is not counted.
  • Expenses left off. Tools, van costs, mileage, work clothing, phone and training all reduce your profit.
  • Materials mixed with labour. Materials you paid for yourself are a cost, and should not have had tax deducted from them.
  • Wrong deduction rate. If you are registered but were treated as unregistered, 30% may have been taken instead of 20%.
  • Filing late. Waiting until January delays the money by months, and a late return adds a penalty.

We check each of these on every return. If your deductions look wrong, we raise it with the contractor or with HMRC before we file. Keeping receipts through the year, even as phone photos, makes the biggest difference.

Refunds for limited companies

If you trade through a limited company, the refund works differently. The company sets CIS deductions against what it owes for PAYE and CIS each month, through the Employer Payment Summary. Anything left over after the tax year can be claimed back from HMRC as a repayment. We handle this as part of your payroll and CIS service.

Fees and what to send us

CIS refunds are handled through your Self Assessment return, covered by our fixed monthly fee from £99 for self-employed people. There is no percentage taken from your refund. See our fees page.

  • Every monthly CIS statement from every contractor for the tax year
  • Your UTR and National Insurance number
  • Receipts or bank statements for tools, materials you paid for, van, fuel, phone and clothing
  • Details of any other income, such as a part-time job

Common questions

When can I claim my CIS tax refund?

Once the tax year ends on 5 April, you can file your return and the refund follows after HMRC processes it. Filing early in the summer gets the money to you sooner than waiting until January.

Can I claim for earlier years?

If returns for earlier years have not been filed, we can prepare them. Talk to us so we can check which years can still be dealt with.

What if a contractor has not given me my statements?

Contractors must give you a monthly statement. We ask them for missing ones and check the figures HMRC holds, so nothing is left out.

Is the deduction taken from materials too?

No. CIS is deducted from the labour part of the payment only. If a contractor deducted from materials, we flag it.

Do you take a percentage of my refund?

No. We charge a fixed fee agreed in writing before we start, whatever the size of your refund.
