Software

We work with whatever you already use

Xero, QuickBooks, Sage or a spreadsheet — the software is your choice, not ours. Nothing here costs extra, and none of it changes the price you were quoted.

  • Xero

If you already keep your books in Xero, we work in your file — you do not have to move anything or pay for a second subscription. If you are starting from nothing, we set it up, connect your bank and show you the four or five things you will actually use.

    • We work in your existing file, or set a new one up
    • Bank feeds connected so the records stay current
    • VAT returns prepared and filed from the file itself
    • A short walk-through, so you are not left guessing
  • QuickBooks

QuickBooks does the same job as Xero and we are equally happy in it. If your last accountant set the file up, we can pick it up mid-year — we check how it has been coded before we rely on it, because inherited files often carry a few years of small mistakes.

    • Existing files picked up mid-year, and checked first
    • Invoicing and expenses set up the simple way
    • Payroll run alongside it where you have staff
    • VAT returns filed under Making Tax Digital
  • Sage

We work with Sage Business Cloud, and with the older desktop versions plenty of established businesses are still running perfectly well. Common in construction and the trades, where the job costing and CIS side matters more than the app looking modern.

    • Sage Business Cloud, or an older desktop Sage
    • CIS deductions tracked properly, not reconstructed later
    • Job and contract costs kept separate
    • Moved to something newer only if it is worth it
  • Excel and spreadsheets

A spreadsheet is a perfectly good set of records for a lot of small businesses, and we will not push you off one you are happy with. We give you a template laid out the way we need it, which saves you the guesswork and us the tidying up.

    • A template set out the way the figures are needed
    • Bridging software where VAT has to be filed digitally
    • No charge for records arriving as a spreadsheet
    • We tell you in good time if the rules mean changing

Moving over

You do not have to change anything to start

We take your records as they are. If something genuinely needs to change we will say so, explain why, and do the moving ourselves — but it is your call, and it is never a condition of the price.

Questions

Things people ask before they call

If your question is not here, just ask. A straight answer costs nothing.

Rather just talk to someone?

Twenty minutes, free, no obligation.

07491 440849info@nyaccountants.uk

How much will it cost?

Self-employed people and landlords start at £99 a month, and small limited companies at £150 a month. Where you land depends on your sales, whether you are VAT registered and whether you have staff. You get your exact price in writing after a free chat, and it is fixed for the year.

Can you take over from my current accountant?

Yes, and we do it all the time. We write to them, ask for your records and register with HMRC. You sign one form. You do not have to wait until your year end. Changing part way through the year is completely normal.

I am late, or I have already been fined. Can you help?

Yes. Come to us sooner rather than later. We work out exactly what is missing, get it filed so the fines stop building up, and if you had a good reason for being late we appeal it. Nobody here will make you feel bad about it.

Do we have to meet in person?

No. We work with clients everywhere in the UK and the whole thing can be done remotely. You send your paperwork online, and we talk by phone, email or video call. Where you live makes no difference to the price or the service.

What software do I need?

Whatever you already use is almost certainly fine. We work with all the main bookkeeping apps, and with spreadsheets if that genuinely suits you. If you have nothing set up, we will set something up that meets the rules without adding work to your week.

When are my deadlines?

Self Assessment: file and pay by 31 January after the tax year ends. Company accounts: nine months after your year end. Company tax: pay nine months and one day after your year end. VAT: usually one month and seven days after each three-month period. We track all of them for you and confirm your dates in writing.

What do you need from me to get started?

For a first chat, ten minutes and nothing else. To give you a price, it helps to know whether you are a company or self-employed, roughly what you sell in a year, whether you are VAT registered and whether you pay anyone. To take over, we need one signed form and your old accountant’s details.

Is the first chat really free?

Yes. Twenty minutes, no charge and no obligation. If we are not the right fit we will say so, and usually point you towards someone who is.

Next step

Twenty minutes will tell you if we are right for you

No sales pitch and no obligation. We will ask what you file now, tell you what we would do differently, and send you a fixed monthly price within one working day.
